The calculator does not search prices automatically. Gather current amounts from the retreat listing, airline, transport provider, official entry service, insurance policy and optional activity pages, then enter those amounts below.
Use current figures
Enter the amount shown for your exact dates, room, route and participant. Leave an unknown field at zero until it is verified.
Review the subtotals
The tool groups the amounts into Package, Journey, Protection and Optional costs, then calculates the realistic estimated total.
Copy the summary
Use “Use subtotals in Quick Estimate” to transfer the four category totals to the compact calculator in the first screen.
Where to find each amount
Package price
Find it on the retreat listing or written quotation for the exact dates and occupancy.
Private-room supplement
Find it in the room options or ask the organiser for the difference between shared and private occupancy.
Mandatory taxes or fees
Find them in the checkout breakdown, quotation or contract. Enter only charges you must pay.
Flights
Use the current final fare for the chosen itinerary, not the first headline fare shown in search results.
Checked baggage
Use the baggage fee shown for the selected ticket and allowance.
Airport transfers
Use the confirmed arrival and departure transfer quotation. Check whether it is per person or per vehicle.
Local transport
Estimate confirmed movements between accommodation, programme locations and planned activities.
Entry costs
Use the current official immigration process applicable to the traveller. Do not copy an old blog estimate.
Connectivity or eSIM
Use the current plan price after checking device compatibility, validity, data allowance and coverage information.
Travel insurance
Use the actual premium displayed for the traveller, dates, destination and selected policy.
Contingency reserve
Choose a personal planning reserve for unexpected transport, meals or schedule changes. It is not a provider charge.
Activities and excursions
Enter only optional activities you realistically plan to book.
Treatments
Use the current price of treatments excluded from the package.
Meals not included
Estimate meals on travel days, free days and any meal periods excluded from the package.
Example using one currency
Package: 1,000 + room supplement 200 + fees 50 = 1,250
Journey: flights 600 + baggage 80 + transfers 70 + local transport 120 + entry 35 + connectivity 25 = 930
Protection: insurance 100 + contingency 250 = 350
Optional: activities 180 + treatments 120 + meals 90 = 390
Estimated planning total: 2,920
